While privacy laws regarding data differ across states and countries but they generally have the same definitions of what constitutes personal information. The CCPA and Connecticut’s law for example, describe personal data as any information that is linked or connected to an identifiable individual with the exception of de-identified data or information that is publicly accessible. The CCPA also includes a section for sensitive personal data that needs more protection than any other kind of data.

It’s essential to know the location and amount of data your organization has. The best method to accomplish this is to take an exhaustive inventory of all documents, files and folders as well as storage devices. This should include all file cabinets, desktops laptops, laptops, mobile devices and flash drives, disks and digital copiers. Additionally, don’t forget to be aware of places where sensitive information might be stored outside your office, like employees’ homes or work-from-home computers, as well as other devices.

Sensitive PII should be encrypted in the transit phase and in rest. It should only be kept as long as is necessary for business reasons. This includes biometrics, medical data covered under the Health Insurance Portability and Accountability Act(HIPAA), unique identifiers such as passports, Social Security Numbers and employee records for personnel.
